The step-by-step checklist to take a new careCycle organization from empty to production-ready.

Welcome to careCycle. This checklist walks through the first setup steps for a new careCycle organization, from choosing your Receptionist's number to launching your first campaign.

By the end, your team will be invited, your book of business will be loaded, Cora will be answering calls, and your first campaign will be live.

If you have not yet read How careCycle Fits Together, start there. It explains what each of these steps is for.

Choose the unified phone number your members can call and text to reach your team. When your number is provisioned, careCycle also creates your Receptionist along with a starter transfer destination and starter appointment settings, which you will refine in the later steps.

Complete 10DLC registration so careCycle can send compliant SMS from your Receptionist's number. Optionally register for RCS branding.

Invite your team

Invite everybody who will handle member services tasks, inquiries, appointments, and post-sale work before importing your book. Team members are also who transfer destinations ring, so this comes before call routing.

Configure customer assignments

Decide how customers should be assigned to agents, CSRs, or teams as records are created or imported.

Import your book of business

Upload customer and policy data so Cora and your campaigns have the context they need. The plan codes on your policies automatically link each member to careCycle's plan benefit data, so Cora can answer coverage questions with nothing extra to upload.

Sync your CRM

Connect native CRM integrations or scope a custom sync for ongoing customer and policy updates.

Connect your calendar

Connect each appointment-taking user's calendar. Booking works without it, but a connected calendar lets careCycle see personal-calendar conflicts so members are never offered a time their agent cannot make.

Set up your transfer destinations

Review the starter transfer destination careCycle created with your number and add the agents it should ring. Add more destinations for other teams or an external number if needed.

Review the starter appointment settings: appointment length, spacing, booking hours, and who appointments route to.

Configure your Receptionist

Now that your transfer destinations and appointment settings exist, wire them into Cora. Set her voice and routing mode, then work through Assistant Behaviors: every scenario starts as Log Inquiry, and this is where you upgrade the right ones to live transfers and appointment booking.

What Happens Next

Once the core setup is complete, your Forward Deployed Engineer will help you:

  • Build out your Retention Suite campaign library
  • Configure Pulse for post-enrollment task automation
  • Set up Inquiry routing and SLAs
  • Connect any remaining systems, including carrier portals, enrollment platforms, and BI tools
