Connect Quote in HealthSherpa
Let your agents open a pre-filled HealthSherpa quote for the customer they're talking to, with one click from the call form.
When an agent is on the phone with a customer who's ready to look at plans, they shouldn't have to retype a name, birthday, address, and Medicare number into HealthSherpa. Quote in HealthSherpa is a button on your call form that sends the customer's details to the agent's own HealthSherpa account and opens the quote in a new tab, already filled in.

What you'll set up
- Each agent's HealthSherpa account, connected once from Settings.
- The HealthSherpa Quote block on the call forms your agents use.
- The right permissions so agents can quote.
There's no organization-wide switch to flip. Quoting works for an agent once their account is connected and the button is on the form they're looking at.
Each agent connects their HealthSherpa account
Every agent who'll quote opens Settings > Integrations and finds the HealthSherpa Account card. They click Connect, sign in to HealthSherpa, and approve access. Back in careCycle, the card shows Connected with their HealthSherpa email.
This has to be done by each agent, for themselves. An admin can't connect on someone else's behalf, and one agent connecting doesn't turn on quoting for anyone else. Quotes open in the agent's own HealthSherpa account.
To stop, they click Disconnect on the same card.
Add the quote button to your call forms
Open Configure in the sidebar and go to the Call Forms tab. Open
the form your agents use, put your cursor where the button belongs in
the script (usually right after you've confirmed their details), type
/healthsherpa, and pick HealthSherpa Quote.
In the editor, the block is a preview, so the button is grayed out with a note that each agent must connect their own account. It comes alive on a real call.
Add it to every form your quoting agents might see: the form on a transfer destination, a campaign's form, your default form, or the forms you've checked under Manual outbound call forms in Settings > Organization > Softphone Settings. See Which Form an Agent Sees.
Check permissions
- To quote, an agent needs Customers > Edit. Quoting saves a link to the HealthSherpa contact on the customer record, so it counts as an edit. The built-in Owner, Admin, and Agent roles have it. The built-in Manager and CSR roles don't, so anyone on those roles who quotes needs a custom role.
- To add the block to a form, you need Call Forms > Edit.
Run a test quote
Have an agent with a connected account call a test customer (or take a test transfer), click Quote in HealthSherpa on the form, and confirm the quote opens in a new tab with the customer's details filled in.
What agents see on a call
During a call, the HealthSherpa block sits in the script with a Quote in HealthSherpa button and the line "Opens a pre-filled quote for this customer in a new tab." Clicking it shows Opening... for a moment, then the quote opens in a new browser tab. The agent stays on the call in careCycle the whole time.
The button also works from Pop out script, the floating script window.
If something's missing, the button stays visible but grayed out, and the block says why:

What gets sent
Each click sends the customer's latest details from careCycle: first and last name, date of birth, email, phone, address, gender, Medicare number, Medicaid status and number, and Medicare Part A and Part B effective dates.
The first quote creates a contact in HealthSherpa and careCycle remembers it. Later quotes for the same customer update that contact instead of creating a new one, so edits the agent makes in careCycle carry over the next time they click.
careCycle leaves out values HealthSherpa won't accept instead of failing the quote. For example, a ZIP that isn't five digits, a state it can't match, a Medicare number that isn't 11 characters, or a gender other than male or female. The agent just fills those in on the HealthSherpa side.
Tips
- Put the button after the details section of your script. The quote uses whatever is on the customer record at the moment of the click, so have agents confirm the address and date of birth first.
- Clean records mean less typing. The more complete the customer record, the less the agent has to fill in on the quote page.
- Pair it with the enrollment webhook. Once the agent submits the enrollment in HealthSherpa, the webhook can bring the policy back into careCycle automatically. See Connect HealthSherpa.
Common questions
Can agents quote from the customer's page, outside a call? No. The button lives on call forms, so it's there while the agent is on a call with the customer.
Clicking the button shows "Failed to start a HealthSherpa quote." Check the customer's details. careCycle needs at least a first and last name on the record to quote. If the name is there, try again, and if it keeps failing, have the agent disconnect and reconnect their HealthSherpa account.
The quote opened in the same tab instead of a new one. The browser blocked the new tab, so careCycle opened the quote where the agent was. Have agents allow pop-ups for careCycle before their first quote.
Do I need the webhook set up to quote? No. Quoting and receiving enrollments are set up separately and work on their own.
