Build Custom Reports with Ask careCycle
Ask plain-English questions about your book and your calls, then turn the answers into a dashboard you check every morning.
You shouldn't need a spreadsheet to find out how last week went. With Ask careCycle, you type a question like you'd ask your office manager, and you get the answer from your own data, often with a chart. When an answer is worth seeing every day, you pin it to your Home dashboard and it keeps itself up to date.
What you'll set up
- A habit of asking careCycle first when you have a numbers question
- A few charts of your own, built from questions and pinned to Home
- A Home layout that shows the numbers you actually run your agency on
- Optionally, a shared layout so every admin starts from the same view
Who can do this
Ask careCycle needs the Ask permission, and pinning charts needs access to the Home dashboard. Out of the box, only Owners and Admins have both. To give someone else access, use a custom role. See Roles and Permissions.
Ask your first question
You can open Ask careCycle from three places:
- The Ask careCycle search bar at the top of any page.
- Cmd+K on a Mac, or Ctrl+K on Windows.
- The Ask bar at the bottom of your Dashboard ("Ask careCycle about your numbers...").
Type your question and press Enter. Shift+Enter adds a new line if you want to ask something longer. If you're not sure where to start, pick one of the Suggested questions, or one of the quick-question chips above the Ask bar on your Dashboard (those are tailored to what's going on in your account).
The answer comes back as a short summary, a table of the numbers behind it, and a chart when a picture helps. Ask can show up to four charts in one answer, side by side when it's comparing things.
Keep the conversation going
Ask remembers the conversation, so follow-ups are short:

A few handy controls:
- Full screen (bottom of the dialog) gives you more room and adds a Saved charts tab.
- History brings back earlier conversations. Recent ones also show up under Recent when you open Ask.
- The small buttons under an answer copy it or regenerate it.
Pin the answer to your dashboard
When an answer comes back as a chart you want to keep, hover over it and click the pin (Add to dashboard). You'll see "Added to your dashboard," with a Go to dashboard shortcut if you're somewhere else in the app.
Pinned charts land on your own layout. A single number takes one column, and other charts take two. They start out private: only you see them until you share them (more on that below).
Or create a chart from the metrics library
You can also start from your Dashboard. Click Add metrics, then Create your own, and describe what you want. Or type in Search metrics, and if nothing matches, click Create "[your search]" with Ask careCycle.
This route gives you a preview before anything is added. You can refine it in the chat ("split by carrier"), pick a width (1 column, 2 columns, or Full width), give it a name, and check Share with your team so other admins can add it from the library. Then click Add to dashboard.
Shape your layout
Now make Home yours. Click Customize (on a computer) to drag widgets around, change their width, stack two single-number widgets into one spot, or remove what you don't use. Click Save and finish when you're done.
Mix the charts you built with ready-made metrics from Add metrics, like Contact Rate, Appointments Booked, Calls by Campaign, or Policies by status. The full walkthrough is in The Dashboard.
Slice it with dates and filters
The toolbar's date button picks the period for every widget that follows dates: presets from Today to Last month, a typed range like "since Jan 1", or Custom range... (90 days max). Filter narrows things by Campaign, Source, Agent, or Carrier.
Two things to know:
- Your pinned Ask charts don't follow the toolbar. They stick to whatever you asked for. If you asked for "last 90 days," that's what they show, whatever dates you pick up top.
- Dates and filters reset when you reload. Your layout is what's saved, so build the layout around the questions you ask every day, and use the toolbar for quick one-off looks.
Share what works
Once your layout is in good shape, you can make it the starting point for your other admins. Click the layout button on the left of the toolbar (it says Your layout) and pick Save for all admins. Admins who haven't saved their own layout will see yours. Anyone who already has their own keeps it.
Heads up: if your layout includes private Ask charts, saving it for all admins makes them visible to your organization. To share a single chart instead, open Add metrics, go to Created by your team, and click Share with team on it.
Good questions to ask
Ask works best when you name the number, how you want it split, and the time period. Here are some to start with.
Retention
Cancellations by reason, last 90 days
How many policies are in Future Cancel right now, by carrier?
Policies that terminated this month, by writing agent
Policies written in September by carrier, compared to August
Campaign results
Contact rate by campaign over the last 7 days
Appointments booked by campaign this week
Transfers by campaign last month
Appointment attendance rate by campaign, last 30 days
Agent productivity
Talk time by agent this week
Inquiries resolved by team member this month, and how long they took on average
Open tasks by assignee, and how many are overdue
Sources
Contact rate by lead source this month
New leads by source, week over week, for the last 8 weeks

Your setup and how things work
Ask also answers questions about your current setup and how careCycle works, like:
How is my Receptionist set up after hours?
How do I add a teammate?
Ask careCycle only reads. It can explain your setup and pull your numbers, but it never changes anything in your account.
Tips
- Say the time period. "This week" and "last 30 days" are read in your agency's time zone. If you leave the period out, Ask has to guess.
- Ask for totals, not lists. Results top out at 500 rows, so "calls by campaign" works much better than "list every call." For individual records, use the CRM pages and their exports. See Calls, Customers, and Exports.
- Want a different chart? Just ask: "make that a line chart" or "show it as a single number."
- Name your pinned charts clearly. The name is what your team sees in the library, so "Contact rate by source (this month)" beats "Chart 3."
- If a pinned chart says "This report no longer runs. Ask careCycle to rebuild it.", ask the same question again and pin the new version.
Common questions
Can I save more than one layout? You get one personal layout. On top of that there's the shared admin layout and the careCycle default. For a different angle on the same board, change the dates and filters in the toolbar.
Will my team see the charts I pin? Not unless you share them. Charts start private. Share one from Created by your team in the metrics library, or share your whole layout with Save for all admins.
I don't see the pin on a chart. Pinning puts the chart on the Home dashboard, so you only get the pin if your role has Home dashboard access.
Can I export what Ask shows me? If your role has Ask export permission, you get download controls on the answer's table.
What happens if I delete a shared chart? It disappears from every dashboard it's on, including your teammates'.
